How to export a Teams chat without admin rights

Microsoft’s export tools are for admins. Here’s how to export your own chats without an IT ticket.

Updated October 16, 2026

Why Teams exports usually need an admin

Microsoft’s official ways to export Teams messages, Microsoft Purview eDiscovery and content search, are built for compliance teams. They need admin roles, and the results are review files rather than a readable chat. That is why a simple “export my chat” question often ends with “ask your IT department”.

Teams Chat Backup works from your browser with your normal sign-in, so there is nothing for IT to approve:

  1. Install the extension. Add Teams Chat Backup from the Chrome Web Store. No account or sign-up.
  2. Open Teams in Chrome. Go to teams.microsoft.com (work or school) or teams.live.com (personal) and sign in as usual.
  3. Choose the chat. Click the Teams Chat Backup icon, then Backup Chats & Channels, and pick the conversation. The chat you have open is marked CURRENT.
  4. Start the backup. Click Start Backup and keep the Teams tab open. The extension scrolls to the beginning and saves every message with its author, date and images.
  5. Open your copy. Click View Backed Files. The chat opens in a private, searchable viewer inside your browser.

Then in the viewer choose Download → PDF, HTML or TXT.

FAQ

Will my IT department see that I exported a chat?

The extension reads the chat in your own browser the same way you do when you scroll it. It does not use an admin API. Your organization may still monitor browser activity under its own policies.

Does it need a Microsoft Graph or Azure app registration?

No. There is nothing to register and nothing for an admin to consent to.

Can it export chats I am not a member of?

No. It can only save conversations your account can already see in Teams.
