How to export Microsoft Teams channel messages

Save channel posts and replies, not just chats, and export them to PDF, HTML or TXT.

Chats vs channels

Chats are private conversations between people. Channels belong to a team and are organized as posts with replies. Teams Chat Backup can save both, and lists channels next to your chats in the popup.

Export a Teams channel

  1. Open the team and channel in Teams on the web, in Chrome.
  2. Click Teams Chat Backup and choose Backup Chats & Channels. Channels are labelled Channel in the list.
  3. Start the backup and keep the tab open while posts and replies load.
  4. Open View Backed Files, pick the channel, and choose Download → PDF, HTML or TXT.

Threads and replies

  • Replies the extension can expand are saved under their original post.
  • If a long thread stays collapsed, expand it in Teams and back up the channel again; new messages are merged into the existing backup (Pro).
  • Channels using the newer Posts/Threads layout are marked LIMITED and backed up in best-effort mode. Check the result in the viewer.

FAQ

Can I back up a whole team at once?

You back up channels one at a time, or select several channels in one run with Pro. Each channel is saved as its own conversation in the viewer.

Are replies included?

Yes, the extension expands replies it can reach and saves them under their posts. If a thread stays collapsed, expand it in Teams and run the backup again.

What does the LIMITED label mean?

Some channels use the newer Posts/Threads layout. The extension still backs them up in best-effort mode and marks them LIMITED so you know to check the result.
